TEAM DEVIZES – MOONRAKERS ATHLETICS CLUB AGM AGENDA FOR 4th NOV 09
Venue: The 2009 AGM of Team Devizes – Moonrakers Athletics Club will be held at Devizes School Gymnasium number 2 on Wednesday the 4th of November 2009. The meeting will start at 1830 hours – training will run alongside the AGM. Please support your children by attending and becoming involved we are all Volunteers and need every bit of help that you can give. Last year, disappointingly, a number of those who we hoped would attend dropped their offspring off and presumably went shopping!

Constitutional changes: There are a number of constitutional changes required to fulfil our obligation to as a Community Sports Club and Charity Aid Foundation Bank Account and claim charitable status gift aid and apply for charity funding grants - Please see proposed changes on are highlighted on our web site

a. 2. Club Purpose, Aims and Objectives: …The purpose of the Club is to provide facilities and to promote the amateur sport of athletics in Devizes and community participation in the same.
b. 3 a. Membership Applications. …Individuals who wish to become members of the Club must apply by using the Membership Application Form. Applications must be accompanied by a subscription fee. proposed and seconded in writing by two existing members of the Club and accompanied by the subscription fee.
c. 3.b. Ordinary Members: …There are four classes of Ordinary Membership; Coach, Senior, Junior and Family. Anyone under the age of 15 years at the date of their application shall join as a Junior Member. and such person must have their application seconded by a coach who is already a member of the Club. Junior Members do not have voting rights.
d. 7. Dissolution of the Club: …There will be the right of appeal to the Committee members, none of whom will have been involved in making the initial decision following disciplinary action being announced. The members should consider the appeal within TWENTYONE days of the Secretary receiving the appeal.
4. Election of Officers: President. Life Vice Presidents (Mr. Brian Smith-Dowse is our only current LVP), Chair, Vice Chair, Secretary, Treasurer, Membership Secretary, Team Management, Coaching Structure, Officials Secretary.

7. Report from the Treasurer: For the year ending 31 March 2009. Total income generated £2631.50, Total Expenditure: £2128.34. Balance brought forward 31 March 2008 £1406.57. Balance carried forward 31 Mar 2009 £1909.73. The accounts have been audited by Mr P Evans (Chair of Governors at Downland School – retired Chief Finance Officer at Kennet DC).
8. Membership subscription: Proposed by Geoff that the subscription rate be set at £10 per junior member, £15 per adult (for us over 21 – we don’t currently have any members in this age group) / renewing member (Family and Social rate to continue as it is).
9. Please become involved: The existing team of active committee members and other helpers is very small; to thrive and continue the club urgently needs more adults to take an active role. Please become involved!
Notes:
1. We are a Partnership Club with Devizes School Sports College and as such get the facilities at a slightly reduced hire fee.
Message from the school management: please remember not to wear any footwear in the gymnasiums that might mark / damage the flooring.
2. From our Charitable Status any sponsorship events you take part of naming the club we can reclaim tax from tax paying donations – remember to ask them to tick the gift aid box on any sponsorship forms.
